As our new Virtual Assistant, you will support daily operations across accounting, newsletter management, and manual platform tasks while strictly following defined SOPs. You will work closely with the founders and be part of a growing environment.
Responsibilities
- Use Xero as the accounting system for day-to-day accounting-related tasks.
- Extract data from dashboards and prepare reports in Excel.
- Send invoices directly from Xero and ensure accurate record-keeping.
- Encode expenses into Xero in a timely and accurate manner.
- Collect content from government websites and create weekly newsletter content.
- Design newsletters and send them to the assigned mailing list.
- Perform manual operational tasks on the platform that are not yet automated.
- Follow defined Standard Operating Procedures (SOPs) across all tasks.
- Work directly with the founders to support daily operations.
- Communicate clearly and proactively and provide status updates as needed.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, Finance, Marketing, Communications, or any related field.
- 5+ years of relevant experience as a Virtual Assistant, Administrative Assistant, or similar support role.
- Proven experience using Xero for invoicing, expense encoding, and basic accounting tasks.
- Strong working knowledge of Microsoft Office tools, particularly Excel and Word.
- Experience using ChatGPT or similar AI tools, especially for newsletter or content creation.
- Familiarity with Slack or similar team communication tools.
- Ability to follow documented SOPs with strong attention to detail.
- Open and effective English communication skills, both written and verbal.
- Proactive, solution-oriented, and able to work independently.
- Willingness and ability to work on an Australian (Sydney) time zone.
